FEMA Inspection Reports

Robert,
 
As you are aware, in response to the hurricane disaster and in order to accommodate our clients needs, we have revised our inspection matrix and the information we are requiring our inspectors to report.  See the following link for additional details Fema Inspection Parameter and Matrix.

In addition to the inspection matrix revision, we have also created a number of client reports in effort to assist our clients with the filing of hazard claims, placing of initial secure orders, and reporting to investors.  Below is a list of the current reports in development.
 
1) Hurricane Katrina Special Area Properties Report - this report is already posted on our client website on the main menu.  This report enables the client to pull a list of all properties in the disaster declared zip codes in an Excel format.  Furthermore, the report categorizes the properties as located in one of the following areas: Inaccessible, Light Damage, Moderate Damage, or Severe Damage.  As with all of our client website reports, the client can sort properties by loan type, state, pre-sale or post-sale. 
 
We are gathering data and feedback from city code enforcement, local city officials, police stations, fire stations, our field inspectors, our Disaster Control units, insurance adjusters, and the department of transportation to determine the level of damages in the zip codes.  We have teams gathering this data daily and we update the report as necessary to reflect the changes.  Clients that run the report daily will see their list of properties shift as our updates from the field change.
 

2) Katrina Inspection Alert Report - programming on this report has been completed and the report is posted on the client website.  We have designed this report to mirror the current Inspection Alert Report, which many clients run daily to alert them of circumstances at properties that need addressed (such as first time vacant, damages, and listed for sale).
 
The Katrina Inspection Alert Report will have selection criteria that matches the new questions, including:
1) Light, moderate, severe, or no damages to the neighborhood/area
2) Light, moderate, severe, total loss, or no damages to the property
3) Wind, water, flood, or fire damages to the property
 
This new report will display all new questions and answers in an Excel format.  In addition, the spreadsheet will include the traditional loan information such as loan type, address, completion date, occupancy status, link to the update, utility status, secured date, winterization date, etc.
 
At this time, this report is not going to be available to be scheduled for automatic delivery.  IT is reviewing that functionality and will provide an update at a later date.

 
3) SPI Katrina Disaster Report - programming on this report is completed.  The report was installed on Friday and lists all completed disaster inspections and the results in an Excel spreadsheet.  This report is nearly identical to the Katrina Inspection Alert Report on the client website in format and content; however, it is an internal report for management review. 
 
SPI management will be running the report daily and using the results to proceed with auto secure procedures and to file insurance claims for our clients.  Vendor Management will be reviewing the report daily to monitor the performance of our inspectors in the field, our Disaster Control units will be reviewing the reports to follow up on the reports of inaccessible areas, and Inspections Customer Service will be following up on the reports of properties that we were unable to locate. 
 
4) Katrina Damaged Property Report - this report will be available on the client website and will mirror the existing Damaged Property Report, however, it will only report on properties in the disaster declared areas.  This report will streamline the process of filing insurance claims for our clients and Hazard Claims department.  IT will begin programming this report upon deployment of the Katrina Inspection Alert Report.  We can expect to see this report by the end of this week.
 
5) Client Report Card - We are planning to adjust the current Client Report Card to report on the disaster inspections as a separate category.  As you know, many areas in the disaster declared zip codes are inaccessible at this time, preventing inspectors from completing the inspections.  The report will pull these inspections out of the general population of inspection results so that we can properly monitor our performance, communicate areas of opportunity for improvement, and follow up with the appropriate inspectors in the field.

 
6) Order Status Report - This report, on the client website, was modified to include additional information regarding inspection orders not yet completed.  We have added a column to the report to advise if the inspection is located in an inaccessible area.  This should alleviate some of the follow up from the client wondering why an inspection is not yet completed.
 
Lastly, our FEMA Declared Disaster Area Report on the client website will continue to be updated as usual. 
 
These are the changes currently scheduled or in process.  We are reviewing special hazard claims insurance recovery reports as well, but have not finalized any of the specs to be delivered to IT.
