Grass Cut Alert 2003
Sunday, 09 March 2003

It is our primary objective to accurately and efficiently service your grass-cut needs. We need your help to ensure that all of your properties are on the grass-cut list, to protect the properties and avoid any violations or citations during the grass-cut season ahead. The sooner we can start to organize our network and map out the grass cuts for all properties requiring the service, the better our chances of avoiding future problems.

You may access the Grass Cut Alert Report on the Safeguard website at https://scds.safeguardproperties.com/cgi-bin/scds.cgi.
After logging in, go to your client home page and click on https://scds.safeguardproperties.com/cgi-bin/scds.cgi?r=WA046 (Grass Cut Alert Report).

Enter the appropriate criteria to define your report parameters and download the information into a spreadsheet. To ensure that all properties are included on the report, we suggest you choose the options indicated in the attached example page.

The report will list only properties that have been flagged in our system as being vacant and still active accounts in your portfolio. The report does not include any properties in non-grasscut areas or properties we show as having been conveyed, sold, or otherwise removed or deleted from your portfolio.

Once your receive the spreadsheet (via e-mail if so requested) listing your vacant properties, please review the spreadsheet and insert 3 columns to indicate the action we are to take, marking each column as detailed below.

Column 1: Should the grass be cut at the property? Please mark a Y or N.
Y indicates we should add the property to the grass-cut list. N indicates no grass-cut orders should be placed.

Column 2: If a previous column was marked N, please mark the reason code. The following codes correspond to the following reasons:
C = Conveyed
R = Reinstated
S = Sold
B = Bankruptcy
O = Other (please include an explanation)

Column 3: Please type the extension of the processor who will be the ordering party for this work. All confirmations, updates, and general correspondence will be directed to this individual.

Please mark the designated columns, save your changes on the spreadsheet, and e-mail the completed spreadsheet to our Regional Manager Kathryn Harris at kathryn.harris@safeguardproperties.com

If you should need additional information, please contact Kathryn Harris directly at 1-800-852-8306 ext 1383.

Looking forward to the spring season and a violation-free summer.

Thank you for your cooperation.
